Databricks is a software platform that helps its customers unify their analytics across business, data science, and engineering teams. Founded in 2013, the company has experienced rapid growth in the last two years. Databricks more than tripled in size from 400 to 1,300 in 2019. With 50-80 new people joining the company each month, IT was busy managing the new scale and technology to support this growth. All with a workforce that was 30% remote before COVID.
Mike Hamilton, the Head of IT, joined during what he referred to as the “wild west phase” of start-ups. A phase with high-growth, no formal PO process, and departments frequently buying new apps and add- on licenses. As the company matured, IT needed more visibility into the SaaS portfolio and to create structure while remaining nimble. Mike saw the opportunity to think more strategically about the SaaS portfolio and partner with business groups.
Databricks was looking for a complete view of their SaaS portfolio. Productiv allowed them to see all the SaaS apps across the company, including Shadow IT. The platform helped IT save hundreds of hours of time on manual tasks without the need for outdated spreadsheets. IT could automate licenses within Productiv, and better prepare for contract negotiations.
Productiv provided a full view of all SaaS applications, renewal dates, and usage metrics, allowing IT to improve processes and be more strategic.

One of the primary reasons Databrick's chose Productiv centered on in-depth usage data. The IT team is now able to use real-time data and insights to drive the right conversations across lines of business. IT could go to the head of marketing, or head of sales, and say “You’ve procured a bunch of licenses but adoption isn’t going up” or “adoption is going way up” -- that data and conversation built trust with the line of business. It drove really powerful conversations, enabling IT to help manage SaaS spend across the organization.
By being able to see not just licenses, not just logins, but actual usage -- which features are being used, when, and by which teams, IT was able to rightsize SaaS spend to drive the right conversations across the organization.

In addition to managing SaaS spend and improved processes, Productiv helped IT drive adoption of different applications and features. When COVID-19 caused Databricks’ workforce to move to 100% remote, the team received feedback in employee experience surveys that people not turning their Zoom videos on in meetings led to lower engagement. Databricks was able to use Productiv to see real-time data on how many users, across teams, were turning their videos on during Zoom calls. This information enabled IT to improve communication and training in the organization.
Without a solution like Productiv that includes engagement data, Databricks would not have been able to understand how features like Zoom video are being used across teams.
